Who this policy covers

This policy applies to visitors to this website, people who contact me or create an account, and clients who place orders for bookkeeping or accounting services.

It covers the information handled through this site and through the delivery of my services. It does not cover third-party websites or platforms that have their own policies, such as Upwork, PeoplePerHour, QuickBooks, or Xero.

Information I collect

Contact and enquiry details you provide — your name, email address, business name, and the content of your message — when you use the contact form, request a consultation, or email me directly.

Account information if you register: your name, email address, and a password. Passwords are never stored in readable form; they are stored only as a salted cryptographic hash. If you sign in with Google instead, I receive your basic profile details from Google and never see your Google password.

Order and engagement information: the services you order, your business details, the accounting software you use, the period covered by the work, order status, messages you send through your client portal, and any files or deliverables exchanged.

Client financial records: the bookkeeping data you share or give me access to so I can perform the work — such as bank and card statements, invoices, bills, receipts, payroll figures, and your accounting file itself.

Payment reference information: the fact and amount of a payment, the method used, and any reference or proof of payment you submit. I do not collect or store full card numbers — see 'Payments' below.

Limited technical data needed to operate the site securely and reliably, such as your browser type, approximate location derived from your IP address, pages visited, and server logs.

How I use your information

To answer your enquiries, prepare quotes, and agree the scope of an engagement.

To deliver the bookkeeping and accounting services you have ordered, including reconciling accounts, preparing reports, and producing deliverables.

To create and administer your account, show you your order status and history, and let you message me about your work.

To send service-related communications — order confirmations, status updates, requests for missing records, email verification, and password resets. These are operational messages, not marketing.

To take payment, record it against your order, and meet my own bookkeeping and record-keeping obligations.

To keep the site and your account secure, prevent fraud and abuse, diagnose problems, and improve the service.

I do not use your information for automated decision-making that produces legal or similarly significant effects, and I do not sell it or use it to build advertising profiles.

Confidentiality of your financial records

Your books, statements, and underlying business data are treated as strictly confidential. They are used only to perform the work you have engaged me for.

I do not disclose your financial information to anyone else except where you have asked me to (for example, to your accountant or tax preparer), where a service provider needs it to operate the service, or where I am legally required to.

I will never publish, sell, or share identifiable details of your business. Where I describe past work publicly, I do so only in general terms, or with a client's clear permission — as with the named reviews on this site.

Access to your accounting software

To do the work, you may invite me into QuickBooks Online, Xero, Wave, Zoho Books, or a similar platform, usually as an accountant or limited user.

That access is used solely to perform the agreed work. I do not use it to move money, change your subscription, or act outside the agreed scope.

You remain in control. You can review my access level at any time, reduce it, or revoke it immediately from within your own software — and I will ask you to remove it when an engagement ends and it is no longer needed.

Where automation tools are used to speed up your bookkeeping, they are configured for your account only and operate on the same limited basis.

Payments

This site does not process card payments and does not collect, store, or have access to your card numbers.

Payment is made by Wise payment link or by direct bank transfer. When you pay, your details are handled by your own bank or by Wise under their terms and privacy policies.

What I record is limited to what I need to reconcile your order: the amount, the date, the method, your order reference, and any confirmation or proof of payment you choose to send me.

Cookies and similar technologies

This site uses a small number of strictly necessary cookies. These keep you signed in, protect forms against cross-site request forgery, and remember your light or dark theme preference.

These cookies are required for the site to work; without them you could not stay logged in to your client portal.

I do not use advertising cookies, cross-site trackers, or third-party marketing pixels. You can clear or block cookies in your browser settings, but signing in will not work if you block the essential ones.

Service providers I rely on

I keep the number of third parties to a minimum. The ones used to run this service are a web hosting provider (which stores the site and its database), an email delivery provider (used to send verification, reset, and order emails), and, if you choose it, Google for sign-in.

These providers act on my instructions and only receive what they need to perform their function. They are not permitted to use your information for their own purposes.

If you engage with me through Upwork or PeoplePerHour instead of ordering directly, those platforms handle the contract and payment under their own privacy policies.

Where your information is stored

The site and its database run on a private server hosted in a secure data centre. Depending on where you are located, your information may be transferred to and stored in a country other than your own.

Wherever it is handled, the same confidentiality commitments and safeguards described in this policy apply.

How long I keep it

Enquiries that do not become engagements are kept only as long as needed to follow up, and then deleted.

Account and order records are kept for as long as your account is active and afterwards for as long as needed to meet legal, tax, and accounting record-keeping obligations.

Client financial records and working papers are retained for the period required for professional and legal purposes, and then securely deleted.

You can ask me to delete information sooner where I am not required to keep it. See 'Your rights and choices' below.

How I protect it

All traffic to and from this site is encrypted in transit using HTTPS.

Passwords are stored only as salted hashes and cannot be read or recovered by me — if you forget yours, it is reset, not retrieved.

Administrative areas require authentication and are restricted to me. Access to your accounting software is limited to the minimum role needed to do the work.

Access to client records is limited to what is needed to deliver your engagement, and devices and accounts used for the work are protected by strong authentication.

No system can be guaranteed completely secure, but I take these measures seriously and will tell you promptly if a breach affects your information.

Your rights and choices

You can ask me for a copy of the information I hold about you, ask me to correct anything inaccurate, or ask me to delete information I am not legally required to keep.

You can ask me to restrict or object to certain processing, and to provide your information in a portable format.

You can revoke my access to your accounting software at any time, directly from within that software.

Depending on where you live — for example in the UK, EU, or certain US states — you may have additional statutory rights, including the right to complain to your local data protection authority. I do not sell personal information or share it for cross-context behavioural advertising.

Children's privacy

This site and these services are intended for businesses and for adults. They are not directed at children, and I do not knowingly collect information from anyone under 18. If you believe a child has provided information, contact me and I will delete it.

Changes to this policy

If this policy changes, the revised version will be posted here with an updated date at the top. Significant changes affecting active clients will be communicated directly.
